2. Access data / server log files

When you visit this website, our hosting provider automatically collects information and stores it in server log files. This includes:

  • IP address (shortened/anonymised)
  • Date and time of access
  • Browser type and version
  • Operating system
  • Referrer URL
  • Hostname of the accessing computer

This data is used to ensure technical stability and is not combined with other data sources.

3. Contact enquiries

You can contact us using the general contact form and the forms for Brands, Clubs and Creators. We process your name, email address, message and optional company, club or profile details, together with the selected area, language and receipt time, to handle your enquiry. Article 6(1)(b) GDPR applies to pre-contractual enquiries.

Your enquiry is stored in our WordPress installation at Hostinger, where access is restricted to administrators. A notification is sent through our configured Brevo email service to clubhouse@urbanhitters.com. Replies use the email address you provide. Service providers and possible processing outside the EU/EEA are described in section 8.

The forms use an invisible spam-protection field and rate limiting. Identifiers derived cryptographically from the IP address are stored for up to 15 minutes; the original IP address is not saved with your enquiry. Identical enquiries are not stored more than once within ten minutes.

A contact enquiry does not subscribe you to a newsletter. We review stored enquiries regularly and delete them when they are no longer needed to handle the enquiry, unless statutory retention obligations apply. For questions or to exercise your rights, contact clubhouse@urbanhitters.com.

4. Cookies & consent management

Our website uses cookies. Some are essential for the website to operate; others support analytics or embedded external content. On your first visit, a cookie banner (consent management tool) asks you to make your choice. Non-essential cookies are only set after you have given consent.

Legal bases:

  • Article 6(1)(a) GDPR (consent)
  • Article 6(1)(f) GDPR (legitimate interest for essential cookies)

5. Web analytics: Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Data is processed only after you actively consent through our cookie banner.

Your IP address is shortened and is not combined with other Google data. Data may be processed on servers in the United States. A data processing agreement with Google is in place.

More information: Google privacy policy

6. Meta Pixel (Facebook / Instagram tracking)

This website uses the Meta Pixel provided by Meta Platforms Ireland Ltd., 4 Grand Canal Square, Dublin 2, Ireland. It allows us to track the behaviour of website visitors who arrive through a Facebook or Instagram advertisement.

It is used only with your consent (Article 6(1)(a) GDPR). Data may be transferred to servers in the United States.

More information: Meta privacy policy

7. Embedded YouTube & Spotify content

Our pages include embedded content from YouTube (Google) and Spotify. When this content loads, the respective provider may collect personal data (such as your IP address). Content is embedded only after you consent through the cookie banner.

8. Newsletter & Stay on track

You can sign up through our website for email updates from Urban Hitters Collective about stories, events and new formats. The controllers are Serviceplan Culture GmbH & Co. KG and Codex Agency GmbH, as named in section 1. For signup, withdrawal of consent and privacy enquiries, contact clubhouse@urbanhitters.com.

Signup and welcome email: We process your email address, selected language, signup form, the time and wording of your consent, and your subscription or unsubscription status. When you select the consent checkbox, which is not preselected, and submit the form, your email address is added directly to the newsletter list (single opt-in). You receive an English welcome email; no additional confirmation click is required. Ownership of the email address is not verified through a confirmation link. If you did not sign up yourself, you can unsubscribe using the link in the welcome email or contact us at clubhouse@urbanhitters.com. We limit signup attempts to prevent abuse.

Purpose and legal basis: Signup and sending are based on your consent (Article 6(1)(a) GDPR). We document consent as evidence under Article 7(1) GDPR. Temporarily stored identifiers derived cryptographically from the IP address limit abusive signup attempts; these identifiers expire after ten minutes. The legal basis for this protection is our legitimate interest in secure operation (Article 6(1)(f) GDPR).

Storage and service providers: Brevo manages newsletter signup, list membership and unsubscription. Signups and status changes are also documented in our WordPress installation hosted by Hostinger and in a restricted-access Google Sheets spreadsheet. Google Apps Script synchronises the entries regularly. New signups are marked as single opt-in without verified email ownership. For earlier double-opt-in signups, a documented Brevo check time refers to retrieval of the confirmation status at that time. Access is limited to the people responsible for administration. We use Brevo for signup and sending; Brevo processes, in particular, recipient addresses, consent and subscription status, email content and technical delivery data. Provider information: Brevo privacy policy, Google privacy policy and Hostinger privacy policy. These services may process data outside the EU/EEA. Information about contractual safeguards, including any standard contractual clauses used, is available in the providers’ privacy and data processing terms; you can also contact us for further information.

Performance measurement: We do not request separate tracking consent during this signup. Individual-level analysis of opens and clicks is disabled in Brevo for contacts without such consent. Brevo may use technical tracking links and pixels for aggregate analysis; sending is therefore not entirely free of measurement functions.

Retention and withdrawal: Active subscription data is processed for the duration of the subscription. Earlier double-opt-in signups that have not yet been confirmed are not automatically transferred to the new signup process; their continued necessity is reviewed regularly. After consent is withdrawn, we stop using the data for the newsletter. Where consent records remain necessary to meet legal obligations or to establish, exercise or defend legal claims, processing is restricted to those purposes. You can withdraw consent at any time using the unsubscribe link in each newsletter email or by emailing clubhouse@urbanhitters.com. Withdrawal does not affect the lawfulness of processing before withdrawal.

Providing your data is voluntary. Signup is not possible without an email address and consent; you can still visit the rest of the website. Rights of access, rectification, erasure, restriction and data portability, and the right to complain to a data protection authority, also apply to this processing. No automated decision-making with legal or similarly significant effects takes place.

Hitters Digest on Substack

Signing up on this website does not automatically subscribe you on Substack. If you use the separate Hitters Digest link, you leave our website and subscribe directly on Substack. That subscription and unsubscription are managed there. For further information about processing by Substack Inc., including possible processing in the United States, see the Substack privacy policy.

This addition was last updated on 14 October 2026.

9. Your rights

You have the right to:

  • Access (Article 15 GDPR)
  • Rectification (Article 16 GDPR)
  • Erasure (Article 17 GDPR)
  • Restriction of processing (Article 18 GDPR)
  • Data portability (Article 20 GDPR)
  • Object to processing (Article 21 GDPR)
  • Withdraw consent (Article 7(3) GDPR)

To exercise your rights, email: clubhouse@urbanhitters.com

10. Right to complain

You have the right to lodge a complaint with the competent data protection authority, for example:

The Hamburg Commissioner for Data Protection and Freedom of Information
Ludwig-Erhard-Str. 22
20459 Hamburg
www.datenschutz-hamburg.de

11. Changes to this privacy policy

This privacy policy is updated regularly to reflect legal or technical changes. The current version is always available on our website.

12. OMR27 interest list and optional Urban Hitters news

The Urban Hitters Collective partners named in section 1 are responsible for the interest list for the event on 2 May 2027. We process first name, last name, email address, optionally provided handicap and home club, and the time and evidence of consent to manage interest in the event and provide information about the programme, tickets and registration. Joining the list is non-binding and is not a ticket booking. The legal basis is your consent under Article 6(1)(a) GDPR.

An additional, optional checkbox, which is not preselected, allows you to authorise Urban Hitters to email you news and information about future events beyond OMR27. This consent is independent of event registration. Without it, this signup does not result in general Urban Hitters news. For this ongoing purpose, we use only your name, email address and the necessary consent records; we do not retain handicap or home club indefinitely for this purpose.

The information is stored in our WordPress installation and a restricted-access Google Sheets spreadsheet; transfer takes place through Google Apps Script. Only authorised Urban Hitters team members have access. Inferno Golf does not have access to this list. Google processes the data through Google Workspace under our data processing agreement. Google and its subprocessors may process data outside the EU, particularly in the United States. Contractual safeguards and any applicable EU standard contractual clauses are described in the Google Cloud Data Processing Addendum.

We delete event-related data once organisation and follow-up are complete and the data is no longer needed, unless statutory retention obligations apply. If separate news consent is given, only the necessary contact data and consent records remain stored for as long as that purpose continues and consent remains valid. We review necessity regularly. We do not retain all event details indefinitely.

You can withdraw either consent at any time with future effect by emailing clubhouse@urbanhitters.com. Withdrawal does not affect the lawfulness of earlier processing. After withdrawal, we stop the corresponding communications; where individual records remain necessary to meet legal obligations or defend legal claims, their use is restricted to that purpose. The rights and complaint options in sections 9 and 10 also apply here. Providing data is voluntary; without your name, email address and event consent, we cannot add you to the event interest list. No automated decision-making with legal or similarly significant effects takes place.

OMR27 addition: 5 October 2026.
